Privacy Policy

Last updated 23 October 2026 · Job Harbour is an Australian business, ABN 50 787 118 862

Job Harbour ("we", "us") helps you tailor your resume and cover letter to job ads. This policy explains what personal information we handle and why. We aim to comply with the Australian Privacy Principles in the Privacy Act 1988 (Cth).

What we collect

  • Account details: your email address and a securely stored password (handled by Google Firebase Authentication; we never see your password).
  • Resume content: the text of the resume you upload, which usually includes your name, contact details, work history and education. We keep the extracted text, not the original file.
  • Job details: the job ad text or link you provide.
  • What we generate: the tailored resumes and cover letters, and any edits you make.
  • Whether you heard back: if you answer the question on your dashboard, we keep your answer with that application. We use it, without your name, to check how well our fit check predicts interviews.
  • Billing: your plan, credit balance and Stripe customer reference. Card details go directly to Stripe; we never receive or store them.
  • Usage data: basic technical and analytics information such as pages visited and device type.
  • Early tester applications: if you apply to the early tester program, your name, email, LinkedIn profile link or WhatsApp number, the countries you live and job hunt in, and your job title. We use them only to check you are a real job seeker, to contact you about your application and the program, and to show next to a testimonial you choose to write. You can ask us to delete your application at any time.
  • Affiliate partners: if you apply to the affiliate program, your name, email, country, the channels you list and your LinkedIn profile link if you give it. Once approved, also your PayPal email, your ABN or supplier statement if you live in Australia, the links to posts and the screenshots you send us, and a scrambled (one-way hashed) record of the browsers and internet connections you sign in to your dashboard from, used only to spot purchases made through your own link. We use these to run the program, pay you and keep the records the tax office requires.
  • Partner links: if you arrive through a partner's link, your browser remembers the partner's code for 30 days, and we record which partner referred your account, so the partner is credited if you buy an annual plan. Partners never see who you are, only the plan and the date.

How we use it

  • To create, store and show your tailored applications.
  • To run your account, process payments and apply your plan and credits.
  • To send account and service emails, such as sign-in, receipts and important changes.
  • To keep the service secure, prevent abuse and fix problems.
  • To understand, in aggregate, how the site is used so we can improve it.

We do not sell your personal information, and we do not use your resume to train AI models.

Who we share it with

We use trusted service providers to run Job Harbour. They only receive what they need to do their job:

  • AI processing: your resume text and the job ad are sent to AI model providers through OpenRouter (currently OpenAI and Google models) to generate and check your documents.
  • Google Firebase: sign-in and database storage.
  • Stripe: payments and invoices.
  • Email delivery: Zoho ZeptoMail sends account emails, and Cloudflare forwards messages sent to our support address.
  • Google Analytics: aggregated website usage.
  • Cloudflare: website security and delivery, including an automatic check that a visitor is a person and not a bot.

Some of these providers store or process information outside Australia, including in the United States. We choose providers with strong security and privacy commitments.

Storage and security

Your data is stored with Google Firebase and processed on servers we control. Connections are encrypted, access to your applications is limited to your signed-in account, and our systems are configured so that one user cannot read another user's data.

How long we keep it

We keep your account and applications while your account is open. We also keep the last resume you uploaded, so you do not have to upload it again; you can remove it at any time on the New application page. If you make a Career Profile, we keep it until you change or delete it on the Career Profile page; any work rights you add there are seen only by you and used only to check your fit for a job. You can delete an application at any time from your dashboard. To delete your whole account and its data, email us and we will do it within 30 days, except for records we must keep by law, such as payment records.

Your choices and rights

You can ask to access or correct your personal information, or ask questions about this policy, by emailing [email protected]. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (oaic.gov.au).

Changes

If we change this policy in a meaningful way, we will update this page and, where appropriate, tell you by email.
